Reporting to: Principal Building Surveyor
Salary: Up to £65,000 per annum, depending on experience and qualifications

Company Overview

The Dulwich Estate is a registered charity. We are stewards of a unique neighbourhood and 1,500 acres of land. Our day to day work involves looking after the Estate, preserving the character of a unique place in south East London. We invest income from the land and property we own to enable education for young people, provide homes for the elderly in Dulwich Almshouse, look after Christ's Chapel in Dulwich and maintain the vibrant neighbourhoods. We provide funding to seven outstanding schools, in Dulwich, Orpington and east and central London, either directly or through foundation trusts.

Role Summary

The post holder shall work alongside the Principal Building Surveyor and the Building Surveying Department to assist in all aspects of repair, maintenance, and improvement of properties on the Estate and to carry out general building surveying duties.

Key Responsibilities

  • Assist the Director of Property and the Commercial Estate Manager in implementing and delivering the Estate’s strategy goals and specific projects and tasks
  • Ensure that the property portfolio is fully compliant with Health and safety legislation and implementing any health and safety measures when required
  • Undertake and drive forward the requirements under the Building Safety Act

    Inspection and Maintenance
  • Carry out regular inspection of residential rented, leasehold and commercial rented properties throughout the Estate with regard to identification, specification, tendering and instructing works of repairs, improvements and redecoration
  • Carry out site inspections, prepare reports, budgets, prepare specifications and drawings, obtain estimates or tenders, order work, prepare contract documents where appropriate
  • Administer, oversee works in progress, maintain the works on programme to standards and within budget and snagging when completed
  • Once completed, value and certify interim payments, check and agree final accounts
  • Carry out detailed inspections/defect diagnosis and prepare reports in respect of the required repairs to be tendered and undertaken
  • Assist the Residential Portfolio Managers in writing, managing and actioning contracts of repairs and planned property maintenance events across the leasehold residential portfolio. This shall include review of licenses to alter and easements where requested
  • Undertake regular inspections for any works required at the sites

    Stakeholder Management
  • Deal with internal and external enquiries relating to the Estate and properties under management
  • Liaise with tenants and / or contractor for any repairs / maintenance required at the sites
  • Respond to correspondence/emails/phone calls from leaseholders and residents in line with company policy

    Legal and Compliance
  • Ensure good working knowledge of the Party Wall etc. Act
  • Progress on all section 20 works with the residential management team, ensuring appropriate legislation and law relating to the consultation process is rigorously followed for these types of works
  • Comply with the Dulwich Estates Corporate Governance

    Sustainability and Environment
  • Contribute to the Estate sustainability programme for the commercial and residential leasehold portfolio
  • Action requests for maintenance works to be carried out to the amenity areas, instructing the Estate’s Tree Consultant and liaising with leaseholders and contractors
    Reporting
  • Maintain computer records of property repairs and maintenance

    Financial Management
  • Assist with the preparation of insurance claims in respect of repairs to various properties throughout the Estate and negotiate with Loss Adjustors
  • Raise Purchase Orders in line with policy for works and advisors
  • Approve invoices with due diligence, query as appropriate

    Other Tasks
  • Contribute to the Charity’s sustainability programme and goals
  • Fully comply with the Estate’s health & safety policies and procedures. This is including but not limited to:
    • complying with any safe systems of work, instructions and training provided
    • reporting all accidents or incidents immediately, in line with the Estate’s Incident Reporting procedure
    • complying with the ‘Employees Responsibilities’ section of the Estate’s H&S Policy
  • Abide by all the Company policies and procedures and regulatory requirements and codes of practice
  • To carry out other duties as may be reasonably required from time to time

Person Specification

  • Member of the RICS with a proven track record of professional competency
  • Previous experience in surveying / property management is a must
  • Excellent written and verbal communication skills, with the ability to manage difficult conversations
  • Strong MS office skills, CAD and ability to learn and use different systems
  • Strong interpersonal and negotiation skills
  • Ability to work under pressure in a calm and professional manner
  • Ability to meet deadlines
  • Right to work in the UK
  • Must have own car and a clean driving licence
